Executive Assistant to Top Management

The Executive Assistant provides administrative support to two international key executives


Serves as a key communicator for senior staff, relaying expectations and procedures to employees and external contacts. Handles the most sensitive and confidential information with discretion
Screens incoming calls and correspondence and typically responds independently in English and German
Manages the calendar and coordinates and/or schedules meetings for the key executives. Juggles schedules and works with executives to keep their schedules on track
Collaborates with key executives to create presentations and correspondences
Functions as a travel coordinator for key executives by arranging detailed travel plans and itineraries
Prepares expense reports for key executives
Establishes and maintains administrative files and procedures, including those of a sensitive and confidential nature and of varying degrees of complexity
Reviews even the most confidential correspondences and reports prepared by others to assure effective communications, procedural and typographical accuracy and other quality measures…
Coordinates and handles all aspects of planning for specific events
Handles and runs special projects


Commercial education and further professional qualification as certified personal assistant
At least 5 years of administrative/business related work experience in an international environment and in a similar position is a must
English is required on a very high level (at least Advanced Certificate), German mother tongue, French and any other language would be a plus
Strong research, writing, editing, and verbal communication skills are required with the ability to position communications effectively for the needs of a specific audience and communicate assertively
Must be assertive but diplomatic and be able to maintain composure under pressure and accurately access and resolve problem situations
Ability to work in a fast-paced, deadline driven environment, both independently and as part of a team
Strong attention to detail and follow up
Proven sense of urgency, with the ability to identify and articulate issues, offer solutions and follow-through to resolution
Excellent time management and organizational skills involving the ability to successfully manage multiple projects/ tasks simultaneously with deliverables on or ahead of schedule
Demonstrated team player, self -starter, and independent thinker
Excellent PC skills as well as proficiency with MS Office Programs
Strong initiative, interpersonal, collaboration, and client service skills
Strong problem solving skills drawing logical conclusions involving the ability to maintain tact, diplomacy, professionalism and composure under pressure and accurately access and resolve problem situations including discreetly handling sensitive and confidential information and resolving issues under pressure
