The incumbent will be responsible for building and managing relationships with companies that supply services to, and on behalf of, REFS (large global FM contractual arrangements) and work to ensure that vendors meet or exceed their contractual obligations by delivering quality products and services. A key component of the role will be to ensure alignment globally with the REFS internal operations governance and oversight of policies and procedures.
He/she will contribute to the success of REFS by helping to drive year on year service and cost improvements within regions through increased efficiency and productivity, and will leverage supplier relationships to support innovation and continuous improvement initiatives that enhance the services and optimize cost to drive value for Novartis.
Moreover, Global Supplier Relationship Management (SRM) Lead provides direction in the selection of regional suppliers (IFM and non-IFM) in alignment with the supplier strategy. To achieve this close collaboration with the Regional Supplier Management Lead and the Region REFS Head will be required.
-Defines, manages and reviews the overarching supplier management strategy and the REFS strategic sourcing strategy for Facility management and services.
-Initiates and manages strategic sourcing and/or special projects, including overseeing the competitive bidding process.
-Participates in major initiatives involving operational opportunities and provides insight and guidance with respect to managing third party IFM providers.
-Establishes and maintains policies and procedures for effective supplier management in REFS as a whole.
-Evaluates and manages risk including IP protection, supplier risk, geopolitical, business continuity and regulatory/compliance. Ensures consistent implementation of global approaches to risk management, impact assessment and risk mitigation plans.
-Understands the targets for REFS and defines appropriate strategies for FM suppliers to support the meeting of those targets. Cascades these strategies to regions.
-As part of the overall REFS service management framework establishes KPIs and reporting requirements to enable service levels to be evaluated. Works in closely collaboration with the Service Performance and Business Process Leads.
-Keeps Major IFM suppliers informed on developments in the organization or changes in market conditions that might affect demand for suppliers’ products or services.
-Ensures the development of induction programs to familiarize new suppliers with the company’s business processes and quality systems.
-Ensures there are effective interfaces between key IFM suppliers and REFS.
-Measures and assesses the effectiveness of the relationship between REFS and Service Providers. Takes action to correct trust breaking problems that could destroy working relationships and ultimately result in non-collaborative behaviors.
-Monitors delivery reliability, quality and accuracy, ensuring savings and service delivery goals of agreements are delivered.
-Initiates (periodical) IFM vendor assessments, like benchmarks, process tests, audits, vendor ratings, etc
-Maintains alignment/integration with REFS internal operations governance and oversight policies and procedures.
-Responsible for ensuring the discipline on IFM contract compliance.
-Leads regular service review meetings with major IFM suppliers, FS CoE Head, Finance and Procurement business Partners regularly to monitor progress against issues and to ensure that an agreed level of service is maintained.
-Provides leadership and direction to the regional SRM teams.
-Regularly reviews costs within their area to ensure control and cost containment.
-Supports the management of the REFS budget including reporting and forecasting.Minimum requirementsMinimum Requirements: -
-University Degree, MBA desirable
-10-15 years of experience in similar professional roles
-Track record in Business Process Outsourcing / services industry desirable
-Experience in managing FM vendors
-Understanding and regulatory knowledge as related to Pharma industry operations
-Experience of commercial and contract management
-Knowledge of the regional supplier landscape would be desirable
-Demonstrable experience in transformation projects in business operations
-Direct experience managing in a global environment
-Excellent understanding of the critical success factors for REFS as reliable, effective and efficient business service provider
-Excellent management track-record
-Experience in identification and management of diverse stakeholders with superior interpersonal/influencing skills
-High level of personal credibility and ability to create long-lasting relationships
