OFFICE MANAGEMENT DUTIES
Ensuring that all aspects of the office are organised and managed efficiently and effectively:
*Liaising with the facilities manager and other service providers such as post, printers/photocopiers, cleaning and local government services
*Receipt and distribution of post
*Answering and organising incoming phone calls to the main reception
*Ordering stationary and other office consumables; liaising with suppliers to get the best prices and delivery
*Support the sales fulfilment team to make sure that the outgoing mail or 'batch' can be enveloped, franked and posted in an accurate and timely manner.
EXECUTIVE TEAM SUPPORT (Light duties)
*Diary management for Directors including arranging Board meetings and conferences
*Provide administrative support in the preparation and review of PowerPoint presentations, Visio organisation charts and Word documents, such as contract tenders, marketing documents and the like
*Maintain and regularly update contact records of vehicle manufacturer clients and suppliers
*Meet and greeting of visitors
*Selecting and negotiating rates for local hotel and meeting rooms and supporting management and field teams with travel and accommodation arrangements
*Organisation, registration and filing of company contracts and personnel documentation
*Organisation and management of company filings and returns

*Excellent organisational skills, with authority and attention to detail
*Proficient in office suite applications such as Word, PowerPoint and Excel (Visio would be advantageous)
*Fluent in English with good written and spoken communication skills.
*Excellent interpersonal and team-working skills
