Receptionist with Assistant tasks EN, RU and GER (m/f)
- Managing the entire reception area (incoming and out-going calls, accurately distributing calls/documents/post to the correct contact, etc.) - Welcoming clients & visitors in a warm manner - Reporting directly to the Office Manager and ensuring a smooth functioning of the office (ordering office material, making sure that kitchen supply is readily available, ensuring tidiness of the entire office) - Scheduling meetings & preparing meeting rooms, as well as setting-up conference calls - Managing correspondences in English, Russian and German - Provide support with management of the busy agenda of the senior management - Preparing various documents (presentations, expense reports, etc.) - Arranging international travel, including visas and organizing accommodation & transportation - Organizing internal as well as external events (summer party, incentive trips, business lunch, etc.) - Coordinating with external service providers (maintenance, janitor etc.) - Serving as internal point of contact and liaising with staff at all levels

- Successful completion of a commercial education - At least 3 years of relevant experience in an Assistant function within a fast-paced environment - Fluent in English, Russian and German - Excellent user of MS Office tools - Ability to keep a cool head during peak periods - Good multitasker, being able to set priorities and willing to go the extra mile - Autonomous worker who is able to quickly integrate into a multicultural team
