Position Description1) Work with Chinese colleagues on the complete organization of visits from Chinese délégations

• Coordinate issues associated with LOI’s and visa for Chinese delegations;
• Producing detailed proposals for excursions in Geneva/Switzerland/Europe;
• Visit new venues beforehand for suitability check and organization;
• Dry runs organization;
• Agenda and name lists preparation;
• Organize itinerary and plan visits to Addax/Geneva/Switzerland/Europe;
• Handle bookings (hotel, restaurant, train, plane, etc.);
• Organize airport VIP check-in and drop-off;
• Handle pick-up/drop-off of delegations at the airport, drive to various meeting venues;
• Conference rooms booking and set-up/sitting plans;
• History Room set-up and contents update;
• Menu selection and translation;
• Flower order;
• Welcome message preparation and publishing on screens;
• Table tags and badges preparation;
• Document printing and binding;
• Photo and video shooting/recording coordination;
• Tea-break and business lunch/dinner booking and coordination;
• Maintaining business relationships with suppliers and partners;
• Coordinating with other departments within the company;
• Gift purchasing for delegations;
• Documents translation;
• Arrange voice recording and/or leader’s opening and conclusion speech;
• Accompany during visits of Geneva/Switzerland/Europe;
• Prepare and do guided tours in Mandarin;
• Follow-up with post-delegation visit.

2) Assistance to Sinopec and SIPC colleagues in Geneva

• Coordinating and working on documents production for SIPC and Sinopec (monthly and yearly reports, occasional articles and reports);
• Translations;
• Restaurant and transportation booking;
• Coordinating purchase of corporate gifts;
• Back-up for pick-up and drop-off of Sinopec and SIPC colleagues (management level), driving to various meeting places;
• Translating information and explain local practices;
• Other support.

3) General Services Department

• Specific projects and tasks upon GS Manager request
• GS Department Intranet contents update;
• News preparation and publishing on intranet and/or cafeteria screens;
• Preferred point of contact for all matters involving Communications and CSR department;
• Translations;
• PPTs and other documents preparation;
• Other projects.Position RequirementsTechnical Competencies / Functional Skills

• Fluent in both French and English, good level of Mandarin;
• Ability to manage multiple projects and work assignments;
• Excellent communication skills, including writing, proof reading and speaking;
• Excellent interpersonal skills both in person and by phone, with high professionalism;
• Ability to accomplish projects with little supervision;
• Available to work sporadically in the evenings and on weekends;
• At ease with MS office (including Word, Excel and PowerPoint) and Lotus Notes;
• Driving license and good driving skills.
