About the role

The Centre of Competence Logistics (CoC Logistics) of Corporate Real Estate and Logistics (CRE&LO) is looking for a "Meeting & Conference Solutions Manager" to act as a global subject matter expert. In this role, you will leverage, align and globalize existing CRE&LO competencies in the area of Events Logistics, Meeting & Conference Management and Event Catering in order to improve client experience (one voice to the customer) around Meeting & Conference solutions. In close collaboration with regional and global stakeholders (inside and outside of CRE&LO) you will globally build up and ensure "Meeting and Conference" best practice and continuous improvement across all related activities.

As a member of the Logistics Solutions Team, you will:
• Strategically develop and globally rollout a new target operation model for our new global focus area "Meeting & Conference Solutions" aligning our CER&LO internal competencies (Events Logistics, Meeting & Conference Management and Event Catering).
• Closely collaborate with the regional competence owners in the area of Events Logistics, Meeting & Conference Management and Event Catering to focus on a "one voice to the customer" experience for "Meeting & Conference Solutions".
• Define and set up a service delivery model along the "Meeting & Conference Solutions" value chain to ensure cost efficient best practice solutions
• Define "Meeting & Conference Solutions" clusters (basic, extended, complex) as a basis for solution provision along our client segments
• Alignment of service catalogues to harmonize client experience and to ensure efficient provision of meeting and conference solutions
• Develop and define best practice processes / guidelines around meeting & conference management solution provision in collaboration with the Regions
• Ensure consistent and lean documentation in the CRE&LO Global Management System
• Ensure that the provision of meeting & conference solutions is supported by best practice application(s) reducing the number of media breaks and handovers for the involved parties
• Manage and integrate requirements by GSO (Building Security), Group Communications (messaging, invitation management), Gastronomy Services, Media Solutions/Video Services and IT
• Evaluate and facilitate the process together with Sourcing and the CRE&LO Regions to set up global / regional partnerships with potential vendors
• Maintain and develop relevant ContactOne portal pages around "Meeting & Conference Solutions" together with our Regions and Department Operational Office including the definition of service catalogue items
• Build up a collaboration network with our Regions to build up knowledge, ensure best practice sharing and to leverage regional / local knowledge
• Consult regional teams in their solution provision around "Meeting & Conference Solutions". Act as 3rd level support where needed
• Monitor and steer implementation across the regions and thrive for continuous improvement based on various feedback channels


About the team

CRE&LO is globally responsible for Swiss Re's corporate real estate including the management of efficient / functional office environment and the provision of high quality logistics solutions to address daily business needs of our clients. The Logistics Solutions team concentrates on the strategic development of all global logistics core subjects covering target operating models, process, guidelines and applications with the focus to support our Regions in being closer to their customers and in providing quality service from our portfolio.


About You

You have
• Proven and consolidated expertise over a minimum of 5 years in Events Logistics and/or Meeting & Conference Management, preferably in a global environment
• Strong interpersonal skills, with the ability to communicate effectively and clearly at all hierarchical levels
• Proven record of applying a best practice approaches and integrating customer needs at the same time
• Aptitude for process analysis, modeling and review
• Experience with relevant applications, tools and processes in their respective area
• Strong leadership skills, capable of driving complex topics with limited oversight
• Strong communication skills both written and oral
• University degree or equivalent
• Very good command of English and German language required
• Ability to work under pressure and high level of flexibility
