Job Summary

Job Scope

We are looking for a talented individual who can be responsible for the administrative co-ordination of the company’s Headquarters in Baar and act as Executive Assistant reporting the Vice President of Operations. Administrative execution across internal and external customers is the key priority whilst collaboration and teaming is a main driver for success.

Job Responsibilities

  • Provide general administrative support, including meetings management and logistics assistance to the Headquarters
  • Maintaining office efficiency and services by planning and implementing office systems, layouts, and equipment procurement as well as organizing office operations and procedures; controlling correspondence; designing filing systems
  • Manage relationship with outside vendors for office services such as cleaning, building maintenance, etc.
  • Coordinate and execute travel requirements
  • Conduct Admin Induction for new starters
  • Facilitate regular communication to internal and external stakeholders; keeping management informed by reviewing and analyzing special reports; summarizing information; identifying trends
  • Coding, authorization and payment of invoices & follow up/invoice confirmation – using electronic invoicing system
  • Assist in organizing logistics for trade fairs and congresses when required
  • Literature requests, Exposal dashboard, monthly communication
  • Advocate and monitor cost containment/reduction though proactive advice on travel, hotels, meetings etc
  • Contributes to team effort by accomplishing related results as needed.


  • Required Skills and Experience (ideally 4 years of prior experience as an administrative assistant)
  • Fluent in both English and German
  • Excellent communication skills
  • Pro-active and well organized
  • Ability to work cross functionally
  • Self-motivated, flexible and a go-get attitude
  • Able to work alone, but also as part of a team
  • Takes initiative/ownership and leads where necessary
  • Ability to work in a hectic start-up environment, stress resistant
