We are looking for a General Services/Receptionist Role
The receptionist provides a professional and efficient reception service ensuring the needs of visitors and staff. She/he is responsible for the good functioning of the office infrastructure and assumes general administrative tasks related with the office.
Main responsibilities and specific duties
Receive and route all telephone calls to the correct person/department
Receive providers and visitors. Make sure they are guided to the correct department organize badges if necessary etc.
Management of the mail reception and distribution to the departments organize sending by post or express couriers
Procurement of office material contact with suppliers order stationary envelopes pens etc.
Administrative tasks organize visa requests notary certifications apostilles support in organizing travels.
Organization of meetings hotel reservation restaurants prepare meeting rooms assistance of the participants etc
Assistance of other departments Creation of suppliers in the Master of Suppliers COMA ndash customer service management for Retail statistics scanning and archiving of contracts etc
Management of the cafeteria ensure tidiness order kitchen supplies ensure good functioning of installations
Management of other installations archives post office room sanitary rooms procurement of consumables etc.
Facility management contact with cleaning company organize maintenance and repairs contact with external providers of heating air conditioning etc.
Security management instruction of employees communication of exit plans
Any other tasks that the management might request
CFC employé de commerce or similar qualification
Experience of 2/3 years in similar field
Fluent in French Spanish English and German other languages a plus
Strongly customer oriented
Excellent interpersonal skills
Good computer skills ideally in MS environment
Able to work in an international multicultural and matrix organisation
Integrity and sense of confidentiality
Flexible and enthusiastic
