We are looking for a Receptionist
6 months contract Role
The receptionist provides a professional and efficient reception service at all times ensuring the needs of visitors and staff. She/He assumes general administrative tasks related with the office e.g. post express courier stamps hellip .
Main responsibilities and specific duties
Receive and route all telephone calls to the correct person/department
Meet and greet visitors ensuring they are signed in and inducted management of badges
Take all room bookings car park requests and hospitality requirements
Manage post mail inflows and outflows dispatch to relevant departments organise shipment and receipt of material express couriers and stationeries e.g. post stamps envelopes hellip
Handle visa requests notary certification chancelleries' apostils commercial register extracts etc.
Follow up of signature on legal and bank documents internally and with external 3rd parties
Organize events and meetings Christmas dinner hellip
Act as travel booking desk
Order special material letterhead paper business cards Christmas cards hellip
Ensure a welcoming and appropriate clean place
Ensure the security in case of fire show emergency exists communicate exit plans
Order office material pen pencil stapler hellip
Order and buy goods for the cafeteria
Ensure the kitchen area is tidy
Any other tasks and duties as required and requested by management
Fluent in French Spanish and English German or other languages a plus
CFC employé de commerce or similar qualification
Excellent interpersonal skills and customer oriented
Appropriate and well-dressed look
Excellent organisational skills
Excellent computer skills MS environment preferred
Able to work in an international multicultural and matrix organisation
Integrity and sense of confidentiality
Flexible and enthusiastic
